Back up and protect your books

Your books live only on your computer. There's no copy on any server, so a backup is the only way to get them back if the computer is lost or broken.

Back up in one click

  1. Choose Settings in the sidebar.
  2. In the Data & Backup card, choose Back up now.
  3. Pick where to save the copy. A USB drive or a folder that's copied somewhere else is a good place. The name is filled in for you, such as resibook-backup-2026-10-24.db.
  4. Choose Save.

The card shows Written to and the copy's full path. The line above the button changes to say when you last backed up.

If your book is locked with a password, the backup is locked the same way and a key file is saved beside it, with the same name and .keys on the end. Keep the two files together. The backup opens with the password and recovery phrase you have now.

If your book isn't locked, anyone who has the backup file can read it. Keep it as carefully as you'd keep a printed bank statement. The same goes for anything you export.

To bring a backup back, choose Restore… in the same card. On a new computer, choose Restore my books from a copy the first time Resibook opens.

Lock your book with a password

A password encrypts your book file, so nobody can open it without the password or the recovery phrase.

  1. Choose Settings, then Open Data & Backup → in the Data & Backup card.
  2. Turn on Require a password to open this book.
  3. Type a password of at least 8 characters under Password, and again under Password again.
  4. Choose Continue.

You see Your recovery phrase, 15 words. This is the only time Resibook shows them.

  1. Write the 15 words down on paper, in order, or choose Save as file… and keep the file somewhere other than this computer.
  2. Tick I've saved this somewhere safe.
  3. Choose Turn on the lock.

From now on Resibook asks for the password each time it opens.

Resibook doesn't keep a copy of your password or your recovery phrase, and neither do we. If you lose both, your book can't be opened, not by you, not by us, not by anyone. There is no back door, on purpose.

Verify my records

Resibook links each posted entry, each issued invoice and credit note, and each line of the Changes log to the one before it. Verify my records checks those links and names the first record that was changed outside Resibook.

  1. Choose Settings, then Open Data & Backup →.
  2. Under Check my book, choose Verify my records.

You see the result on the page. A problem is also kept in Transactions › Changes. Resibook never locks your book because of a check.

The period code

When you lock a month or close a year in Settings › Periods & year-end, Resibook shows a period code, such as RB-XXXX-XXXX-XXXX. Write it down or print it, and keep it away from this computer. Someone who rebuilds every link in a book can only be caught by a code kept outside it.

How long records are kept

  1. Choose Settings.
  2. In the This book card, find Records and choose Manage →.

Under Keep records, set Keep records for a number of years and choose Save. Resibook never deletes anything by itself. Until you set a period, a file on a posted entry, an issued invoice or another record can't be deleted for good. Once you set one, it can be deleted only after that many years have passed since its newest record.

Under Legal hold, choose Put a legal hold on…, type the reason and choose Put the hold on. While it's on, nothing is deleted for good: no file, no note, no safety copy.

The same page saves the Changes log as a PDF or CSV (Save as PDF, Save as CSV), and makes a Year pack: every record of one fiscal year in one file, to hand to an accountant or auditor. Pick the Fiscal year, choose Make the year pack, then Save….
